The Problem with Paper-Based Safety

In industries where electronic devices are often restricted on-site, frontline workers are still reporting safety concerns and incidents using pen and paper. These get scanned later—if at all—and often sit idle without triggering action. Carolynne Heron put it bluntly:

“So [the document] might be scanned, whatever, but who’s looking at it? And then what are we doing about it?”

She warns that without rapid response systems in place, organizations are doomed to repeat the same mistakes:

“If management can’t move quick enough to react to those basically lagging indicators… today’s near miss that nobody is talking about becomes tomorrow’s incident. You just need to make it easy… the easier you make it, the more they’re going to do it.”

She’s not the only one promoting the values of digital safety processes. Brett Burkard supports her position, saying “In the old days, our safety reports came in written on the back of a cigarette pack… now, automation gets the work done—and done properly.”

Pie Change Data

Real-Time, Predictive Safety Systems

Carolynne champions a future where safety professionals use real-time data to predict and prevent incidents before they occur. This is not about drowning in spreadsheets or dashboards; it’s about actionable insight:

“What is the right data? What are the right trigger events? What are the right alerts so that we can get ahead of it and actually predict that there’s a risk coming?”

These systems can detect patterns—like changes in shift timing, environmental conditions, or workforce behavior—and issue alerts across entire organizations. This proactive approach allows teams to intervene before small issues escalate.

Carolynne is also quick to caution that technology should support, not replace, human interaction:

“Let’s not be so reliant on technology that we’re not actually out having conversations, observing with the human eye… we need to validate it all to build trust.”

Real-time data doesn’t negate the need for leadership presence. In fact, it should empower better field-level conversations and faster, more informed decisions.

Moving Forward: Where to Start

To modernize your safety systems, consider evaluating:

  • Your current method for collecting and acting on near-miss data.
  • The speed and frequency of incident reporting.
  • Your ability to detect patterns or systemic risks across sites.

We’re helping organizations make that shift through risk management software and innovative safety management systems. These tools ensure that your safety data does more than tick boxes—it saves lives.

As safety mindsets evolve, so must our tools. The future isn’t just about being compliant. It’s about being predictive, proactive, and people-centered. Because when safety data talks, we need to listen—in real time.
