Virtual Proctoring

Simplifying Participant Verification

Ensure genuine participation in your online training programs

As industries continue to evolve, the popularity of online learning has grown rapidly. Flexible training options have become essential, especially with more employees working irregular hours and businesses increasingly relying on contract or remote workers. Digital training platforms have made onboarding and skills development faster, more convenient, and more affordable.

However, this convenience comes with a new challenge — authenticity. Without the direct supervision of an instructor or classroom environment, how can organizations confirm that the individual completing the training is actually the enrolled learner? Maintaining accountability and training integrity has become a top priority.

Fortunately, technology now offers an effective and accessible solution to ensure every completion truly represents the right participant.

What is Virtual Proctoring?

Virtual proctoring uses online technology to monitor training sessions, exams, and course activities remotely. Through features like facial recognition and detection, the system confirms the learner’s identity and ensures compliance with training session guidelines. In addition to confirming who is taking the course, it can also track whether participants are engaged and attentive. The entire process functions through the learner’s web browser and webcam, eliminating the need to download or install extra applications.

Privacy and Data Protection

BIS Safety Software employs secure, advanced methods to confirm learner identities while maintaining strict privacy standards. During the verification process, users are asked to allow webcam access and present a government-issued ID. Both the ID image and webcam photo are encrypted and stored temporarily for identity confirmation only. After verification is complete, those encrypted images are automatically and permanently deleted within 24 hours of course completion, ensuring no personal data remains in the system.

The Benefits
Streamline Time and Reduce Costs

Transitioning training, certification, and orientation programs online gives organizations the advantage of having workers complete learning requirements before they arrive on-site. This approach reduces downtime, eliminates scheduling and facility coordination issues, and creates a more efficient onboarding process.

Virtual proctoring also cuts the need for in-person invigilators or exam supervisors while still maintaining reliable identity validation. One major client reported multimillion-dollar savings after shifting their orientation programs to an online model integrated with the BIS virtual proctoring system. The following example budget outlines a realistic cost comparison, scaled directly from their reported data.

Ethics Enforcement

As the user’s webcam records the session, the software monitors for any deceptive behaviour displayed during the session. Deceptive behaviour is then flagged. Examples of deceptive behaviour include users placing images in front of the camera or switching participants after showing their ID. In monitoring and flagging these types of behaviour, virtual proctoring can help you identify and prevent unethical behaviour before it occurs on site. As the statistics below show, 6.4% of participants were flagged during virtual proctoring sessions due to not following the outlined session rules and/or deceptive behaviour.

Requiring proctored verification during online training supports compliance with occupational and regulatory standards. Basic login credentials such as usernames and passwords cannot fully confirm who is completing the training or whether they actually participated. With virtual proctoring, organizations gain legitimate, time-stamped evidence that each learner personally completed their session. In the event of a workplace incident, this documented proof can serve as critical support in demonstrating due diligence and protecting against potential legal claims.

Strengthening Due Diligence

For health, safety, and environmental professionals, compliance is about more than just policy, it’s about ensuring preventive action. Simply having procedures or mandatory training in place may not guarantee active participation or understanding. Research consistently shows that learner engagement plays a key role in effective safety outcomes. With virtual proctoring, it becomes easier to track and ensure genuine engagement, helping organizations meet their legal and ethical responsibility to maintain safe workplaces.
