Candidate Privacy Notice

At BIS Safety Software Inc. (“BIS”), we believe that a company’s success is built on the incredible people it hires. We may contact individuals (“Candidates”) who apply for an open position with our company, who express interest in employment with us, and who perform an interview and assessment with us. This Candidate Privacy Notice (“Notice”) describes how BIS collects, uses, stores, and discloses personal information about Candidates, as well as the rights Candidates have regarding their personal information that we process.

“Personal Information” refers to information about an identifiable individual, such as address, age, and gender.

Individuals who use our public websites, BIStrainer web application, or SafeTapp mobile application are subject to our Privacy Policy, not this Notice.

Personal Information We Collect from Candidates

We collect the following information from Candidates:

  • Personal Identifiers: Full name, postal address, phone number, email, and other identifiers.
  • Employment and Education Information: Records of your work history, education, training, affiliations, volunteer activities, and any other information you provide to us on your cover letter, resume, transcript, and information obtained from your references
  • Assessments: Skill assessments and activities you complete during the application process
  • Other Information: Personal information needed for legal or contractual reasons to confirm your ability to work for us, such as proof of citizenship, visa information, and criminal history checks
  • Publicly Available Information: Information about you that is publicly available, such as on social media
  • Audio, Electronic, and Visual information: Recordings from CCTV footage at our head office location and interview recordings (where permitted)
  • Information You Disclose: Any personal information you disclose voluntarily during the application process

Why We Collect Personal Information

We collect and process Personal Information of Candidates for the following reasons:

  • Assessing your qualifications for a position at BIS
  • Verifying your eligibility and ability to be employed at BIS
  • Making hiring decisions
  • Providing travel and accommodations, if applicable
  • Complying with legal and contractual obligations
  • Protecting BIS’ property, data, and the data entrusted to us by our clients
  • Defending against legal claims

How We Collect Personal Information

We collect Candidate Personal Information from:

  • Information you give to us directly
  • Information from other sources, such as the references you provide or professional registries, and recruitment agencies
  • Public sources, such as information on websites and social media platforms

How We Share Personal Information

Your Personal Information is shared with third parties for business purposes. These third parties include:

  • Hiring agencies used to help us find Candidates
  • Legal advisors
  • Service providers, such as IT contractors, data storage providers, and recording and transcribing platforms (e.g., Fireflies AI)
  • Applicable government agencies and law enforcement for legal, security, and safety reasons

Personal Information Retention

BIS will store your data on servers located in Canada in accordance with applicable laws. We will retain your data for as long as needed for the purposes described above under “Why We Collect Personal Information,” not exceeding 7 years. We may also retain your personal information, so we can consider you for other future openings at BIS.

Protecting Your Personal Information

The security and privacy of your Personal Information is important to us. All our team members and contractors who may access your Personal Information complete privacy training and agree to confidentiality agreements. Personal Information we collect is securely stored and accessible only to authorized individuals given the necessary permissions based on their role and need to access this data. Servers which store your personal information are protected with physical security controls to prevent unauthorized access.

Your Rights

You have the right to access, correct, and update your personal information by contacting our Privacy Management Program. You may also request that BIS delete your personal information.

Notice Updates

If we alter our Candidate Privacy Notice, any changes will be posted on this page of our website with the date of the latest revision so that you are always informed of the information we collect about you, how we use it, and the circumstances under which we may disclose it.

In the event you create an account on the Web Platforms on behalf of someone else, you represent and warrant that you have notified them of the Terms and Conditions, and obtained their consent and have the legal authority to agree to the Terms and Conditions on their behalf.
