Questions buyers ask
How long should we keep training records?
It depends on where you work and the type of training. Some jurisdictions set a fixed period. Manitoba and Nova Scotia, for example, ask employers to keep required training records for 5 years. Others set none. Archiving records instead of deleting them keeps them on hand if anyone asks later.
Can training records be stored electronically?
Check the rules where you work. Ontario, for example, accepts paper or electronic records as long as they can be shown to an inspector and given to a worker who asks.
What does a training record system cost?
Pricing usually pairs a monthly minimum with a fee for each user, so the bill grows with headcount and features. The guide puts the range at $1 to $100 per user a month, on top of a $200 to $1,000 minimum, and breaks down setup and support costs by package.
What should we ask a vendor about privacy?
Find out whether the system is closed, how it encrypts ID numbers such as SINs, and where your records are stored and copied. Request the vendor’s disaster recovery plan in writing rather than taking it on trust. The guide walks through what each term means.
